Job Summary

The Client Service Specialist supports the day-to-day administration of client trust accounts. This role processes money movement, maintains complete and accurate records, reviews transactions against ERISA requirements and plan documents, and keeps clients and internal partners informed. The successful candidate is detail-oriented, responsive, and comfortable taking ownership of time-sensitive work. Experience in banking, trust administration, retirement plans, or a related financial field is helpful, as is a willingness to support clients and fellow employee-owners.

Responsibilities

  • Money Movement & Wire Transfers: Authenticate, prepare, and execute high-value money movement requests—including federal wires, ACH transfers, and check disbursements—ensuring strict adherence to audit standards, risk protocols, and directed trust instructions.
  • Client & Counterparty Communication: Serve as a clear, responsive operational point of contact for plan sponsors, Third-Party Administrators (TPAs), and financial advisors regarding transaction status, wire confirmations, and administrative inquiries.
  • Relationship Management Partnering: Collaborate directly with Relationship Managers to manage client accounts, track pending transaction workflows, gather necessary documentation, and resolve operational bottlenecks.
  • Plan Document Analysis & Compliance: Review and interpret complex ESOP and ERISA-governed Service Plan Documents, trust agreements, and operational frameworks to ensure all requested transactions comply with plan provisions.
  • Trust Accounting & Audit Trail: Maintain precise records within the trust accounting system, ensuring full documentation, proper coding, and audit readiness for all non-deposit trust activities.
  • Process Improvement & Quality Control: Identify operational efficiencies in money movement and plan document reviews, contributing to enhanced service delivery and control standards across the team

Maintains focus on key deliverables, adapts to shifting business needs, and consistently meets deadlines during both routine operations and seasonal or cyclical peak workload periods.

Required Qualifications

  • Education: Bachelor’s degree in Business, Finance, Accounting, or a related field (or equivalent practical experience).
  • Industry Experience: 2 or more years of relevant operational experience in business administration, banking, trust administration, retirement plan processing, financial services, or a related field.
  • Systems Proficiency: Skilled in banking systems, and MS Office Tools.

Preferred Qualifications

  • Plan & ERISA Literacy: Solid understanding of ERISA standards and employee benefit plans (ESOP experience strongly preferred), with proven ability to analyze complex Plan Documents and Trust Agreements to extract operational processing rules.
  • Technology: Experience with CRM tools and document management software is a plus.
  • Security & Integrity: High level of professional discretion in handling sensitive financial, trust, and client data.
